The shift didn’t come from a productivity hack or a new planner—it came from realizing I was spending most of my energy on tasks that didn’t actually move the needle.
I was constantly busy—checking boxes, answering emails, updating spreadsheets, jumping from one thing to the next. But at the end of the day, I didn’t feel accomplished… just exhausted. And the big goals? They stayed stuck on the back burner.
One day, I sat down and made a list of everything on my plate. Then I asked myself: Which of these are low-level tasks—things that keep me busy but not better? And which are high-level—things that actually create growth, impact, and momentum?
It was eye-opening.
Suddenly, I could see where my energy was leaking. I started organizing my days differently, prioritizing the high-level tasks that moved me closer to my goals. The result? More clarity, more impact—and surprisingly, more calm.
It wasn’t perfect. I still fall into old patterns sometimes. But now, I check in regularly: Am I being busy, or am I being intentional?

Exercise: Prioritize Your Tasks – Low-Level vs. High-Level
One of the quickest ways to reduce overwhelm is to start distinguishing between "low-level" tasks (the small, day-to-day things that don’t require much mental energy) and "high-level" tasks (the strategic, big-picture actions that truly move your business and life forward).
Step 1: List Your Tasks
Write down everything you need to get done—big and small. No task is too minor or too major. This is a brain dump, so be thorough!
Step 2: Categorize Your Tasks
Now, go through each task and ask yourself:
Is this a low-level task? (Examples: Responding to emails, scheduling meetings, updating spreadsheets, following up with clients, etc.)
Is this a high-level task? (Examples: Planning your next product launch, creating a content strategy, deciding on long-term goals, designing a sales funnel, etc.)
Step 3: Prioritize and Delegate
Once you’ve categorized your tasks:
High-level tasks: These are the tasks that are crucial to the growth of your business or personal success. They require focus, creativity, and strategic thinking. Schedule dedicated blocks of time for these tasks and guard them from distractions.
Low-level tasks: These tasks, while important, don’t require the same level of focus and energy. Consider delegating them if possible or batching them together to get them out of the way more efficiently.
Step 4: Set Boundaries
If you’re feeling overwhelmed, it’s likely that low-level tasks are eating up time and mental energy that you should be using for high-level, impactful work. Set clear boundaries around when you will tackle low-level tasks (e.g., only check emails at set times during the day), and commit to focusing on high-level tasks when you’re feeling at your best and most energized.
Step 5: Review Regularly
At the end of each week, review your task list. Are there any tasks that were low-level but took up too much of your energy? Did you allocate enough time for high-level tasks that really move you forward? Adjust your approach accordingly.
By organizing tasks into low-level and high-level categories, you’ll see more clearly where your time and energy are going. The key to reducing overwhelm is focusing on what matters most. High-level tasks are what drive progress and growth, while low-level tasks often just fill up your to-do list. This exercise helps you reclaim your time and mental clarity, allowing you to focus on the tasks that will truly move the needle.
Taking back control of your task list empowers you to say “no” to distractions, stop feeling stuck in the weeds, and start focusing on what really matters.
